Are Your Business Systems Ready for Growth? 3 Ways to Know
Well hey there and welcome back to another episode of the Mama Business podcast. I’m your host, Sarah Brumley, and I’m so glad you are taking this time today to join me as we talk about ensuring a strong foundation for your business systems.
And I know it’s not the most glamorous of all of the things you can do in your business, but I DO promise that it’s the most important part because when your systems are functioning properly, you can continue to build your successful business on top of them. But…if they aren’t working well for you – then you’ll spend all of your time stressed and overwhelmed and your clients will very quickly see the dysfunction that comes out of that.
We don’t want that, right?

So, today I want to talk about how to know if your business foundation is solid enough to handle future growth. And here’s the kicker – it doesn’t matter if you are ten years into business or just starting out. It’s never too late to make sure you have a foundation that will help you succeed going forward, okay?

Step #1: Do you understand your business systems?
The first question to ask yourself when considering whether your business foundation is solid is “do you understand your business systems?”.
And no, you don’t have to be the techy type in order to know this. In fact, we might even rephrase this to, “do you have clarity around what your systems are and why and how they are useful to your business?”.
And if you are already shaking your head with a resounding no, then that’s a pretty good red flag for you that your business foundation is not solid.
Because no matter who runs your systems – whether you hire out or put it all together yourself, you have to know what every system in your business is used for and why.
- Is it used for attracting cold traffic?
- Turning email subscribers into paying clients?
- What stage of your client attraction funnel does it belong in?
Because the truth of the matter is that every piece of tech you employ within your business should have a very clear purpose. So, if you don’t know the answers to these questions, then it’s likely you have systems in place that are either:
- Not necessary at all.
- Not working in the way you need them to in order to promote future growth.
For example, I had a client come to me recently for a website design package. In the middle of the whole process, she mentioned that she has a sales page out there on a different platform that hasn’t been doing anything for her business. Well, upon further review, we realized that the sales page wasn’t set up for actual sales. But, she’d collected 521 email subscribers ready to hear from her – all within a piece of tech that she wasn’t clear on the purpose of.
521 subscribers!!! Can you imagine.
People who wanted to hear from her and were possibly even ready to buy.
And yet, she didn’t even know they were there.
So, if you have any systems or tech pieces within your business that you aren’t super clear on – then it’s time to ensure that you are in order to have a solid business foundation going forward.
…and tell me I’m not the only one still reeling from that many subscribers just out there…
But I digress.
Step #2: Are your business systems connected properly?
Okay, so the second question to ask yourself when considering whether your business foundation is solid is “Are all of your business systems connected properly?”.
So, another way to look at this is, do all of your systems talk to one another and is it a seamless process? Like – you don’t have to do the steps along the way or move things from one platform to another in order to have it all work?
The truth is that you should be able to fully automate anything related to attracting cold traffic all the way to onboarding them as a new client. Sure, you create the content, but all from that point forward, they turn into email subscribers, land on your sales page, purchase your service on a cart page, fill out any contracts or forms you need, and know exactly how to schedule their first meeting with you or access your evergreen program. This should be a very seamless process – for you AND for your potential client.
And if it’s not – you are not ready to grow until it is.
So, are your business systems connected properly?
Step #3: Can you use your systems without frustration?
The third question to ask yourself when considering whether your business foundation is solid is, “Are the systems that you DO use and NEED to use within your business – are they easy to use?”
I’m not saying that the platform or piece of tech won’t have it’s learning curve, but:
- Do you understand how to troubleshoot when something isn’t working?
- Can you see all the moving parts within the system?
- Are you able to make adjustments and changes as your offers change?
If not, then it’s likely you are feeling super frustrated. And, with good reason. Your business foundation is not solid yet.
I see this across all tech platforms – from websites to email marketing software to cart pages…and beyond, but let’s use an email marketing platform as an example.
From the client’s perspective, you have a landing page that allows them to enter their email address and get an email from you. Then, they land on your email list, get a few more emails and may purchase from you through one of those emails, right?
On your end, though – you have to have a landing page set up. The form has to connect to a tag or identifier that allows them to land on the correct mailing list. Then, you need to have an automation set up that allows them to get their free resource they signed up for. And, then you have to know exactly who to send future emails to on this subject, right?
That’s a simplistic approach, but if you don’t know what those working parts are and how they actually play out on the back end of your email marketing system – then it’s very likely you are going to feel frustrated when things aren’t working out the way you want them to. Or, when you go to write an email and realize that you only sent it to a small fraction of your list rather than the entire list.
These are things that you have to know in order to have that solid business foundation that you can use moving forward to grow and expand your business.
Get Your Business Systems Ready for Growth
And very quickly – I do want to say that it’s great if you can have someone on your team to run and manage these different pieces, but if YOU as the business owner don’t know what your systems are and how they work, you place yourself at a disadvantage in the future as you try to grow and scale your business.
So, get the education you need. Gain that clarity, and make sure that you have everything set up in a way that works for you. Because tech is meant to be an aide – not something that complicates things.
